The ECA Archives and Records Management Services (ARMS) is located within the Knowledge and Library Services Section (KLSS) of the Publications, Conference and Knowledge Management Division (PCKMD). The ARMS is responsible with the development and implementation of sound records and archives management principles and practices across the Commission. It ensures ECA comply with UN policies and procedures on the effective and efficient management of United Nations records and archives.
ARMS ensures the documentation of evidence of business transactions; processes and managing information and records for ease of access and timely retrieval; identifies and protects invaluable information assets that are essential to Commission’s critical business operations. Furthermore, ARMS minimises storage requirements (space, equipment, and supplies) for a given quantity of records and reduces time and effort required to reconstruct vital information in the event of disaster, theft, and other losses.
The program further ensures that records of enduring value (archives) which hold the key history of the Commission and documented in writing, in photographs, in sound recordings and the video are treasured, preserved and made accessible to all for use and that records with the finite value the Commission are disposed off when this value passes. In fulfilling these responsibilities, the program guarantees Commission’s compliance with UN rules and regulations related to archives and records management.
The Archives and Records Management (ARM) program integrate the functions implemented by the former Registry Unit of processing all official incoming and outgoing correspondences of ECA in coordination with division and section registries. It also includes a Record Center that provides low-cost storage, maintenance, and reference use of semi-current records pending their ultimate appraisal and disposition according to established records retention schedules and an Archival Facility that provides suitable conditions for the preservation of archival holdings, processing and making them accessible for use;
